Missed Call Booking
Missed Call Booking
Never lose a reservation again. When a call goes unanswered, the system automatically sends an SMS or WhatsApp message with a direct link to book a table.
Many customers call to reserve, but if nobody answers they simply try another restaurant.
Missed Call Booking converts those missed calls into online reservations within seconds.
How It Works
When a customer calls your restaurant and nobody answers, the system detects the missed call and instantly sends an automated message with a direct link to your booking page.
The Process
- A customer calls your restaurant.
- The call is not answered.
- The system detects the missed call.
- An SMS or WhatsApp message is automatically sent to the caller.
- The message contains a direct link to your booking page.
- The customer completes the reservation online in seconds.
Many customers prefer booking online instead of calling again, so this system helps recover reservations that would otherwise be lost.
Two Ways to Activate It
You can use Missed Call Booking in two different ways depending on how you want to configure your restaurant.
1. Forward When Not Answered (Easiest Setup)
Your restaurant keeps using its normal phone number.
You simply configure a call forwarding rule when the call is not answered to an IP phone number.
How it works
- A customer calls your normal restaurant phone number.
- If nobody answers within a few seconds, the call is automatically forwarded.
- The system detects the missed call.
- An SMS or WhatsApp message is automatically sent with the booking link.
This setup works with:
- mobile phones
- landline phones
- phone systems (PBX)
- VoIP phone systems
The configuration usually takes less than 2 minutes.
2. Smart Reservation Phone Number (Advanced Option)
You can also use a dedicated phone number for reservations.
This number can be placed on:
- your website
- Google Maps
- advertising campaigns
- Instagram or social media
- posters or QR codes in the restaurant
When someone calls this number, the system can:
- forward the call to the restaurant
- automatically send a booking link
- respond outside opening hours
- react when the line is busy
This creates a smart call handling system for reservations.
Integration With Your Phone Provider
AlexReservations does not act as a phone provider.
Instead, the system connects with your existing VoIP phone provider using webhooks to detect incoming or missed calls.
Many VoIP providers allow sending a webhook when a call event happens.
Compatible providers include:
- Zadarma
- Telnyx
- Twilio
- Ringotel
- CloudTalk
- and other VoIP systems that support webhooks
When a missed call is detected, the phone provider sends a webhook to your AlexReservations installation, and the system automatically triggers the message to the customer.
This allows Missed Call Booking to work with most modern phone systems.
SMS or WhatsApp Response
Choose how you want to respond to missed calls.
You can use:
- SMS
- SMS + WhatsApp
Example automatic message:
Hello 👋
We couldn't answer your call at El Paladar.
Reserve your table instantly here:
https://reserve.yourrestaurant.com
Key Benefits
No More Lost Reservations
Every missed call becomes a potential reservation.
Automatic Response
The system responds automatically without staff intervention.
Instant Booking
Customers receive a direct booking link within seconds.
Better Customer Experience
Many customers prefer booking online instead of calling again.
Smart Scheduling
Configure when the system should respond to missed calls.
You can define:
- active hours for automatic responses
- delays before sending the message
- daily message limits to control costs
- different behavior depending on the time of day
For example:
- during opening hours → send booking link
- outside opening hours → invite the customer to book for the next day
Recovered Reservations
Missed Call Booking tracks all missed calls and detects when the customer completes a reservation after receiving the message.
In the dashboard you will see:
- missed calls
- messages sent
- reservations generated from those calls
- conversion rate
Example:
Missed calls this week: 23
Messages sent: 23
Reservations recovered: 9
This allows you to clearly measure how many reservations you are recovering thanks to the system.
